Our client is actively searching for a Manager/ Senior Manager, Corporate Secretariat to join their team!

To manage the secretarial, administrative and finance functions in the Secretariat of the Board of Trustees for the University's Group of companies which include but not limited to the following:
Provide administrative support to the Chairman of the Board, Chairmen of Board Committees and to individual Board members
Prepare, review and collate papers and information before meetings, including uploading of the papers onto the board papers application platform.
Assist in the arrangement and set up of the Board and Board Committee meetings.
Write minutes of meetings and prepare board and members’ resolutions
Follow-up on decisions made by the Board
Facilitate communication on Board matters between Chairman, Board members, President and senior management e.g. drafting of letters, emails and board papers
Process the appointment and re-appointment to the Board/ Board Committee
Draft the annual report in relation to Board matters such as Board members profile, Corporate Governance Statement and any other necessary information.
Prepare and organise high level events and visits for the Board
Update and maintain statutory registers and records, ensure compliance with statutory and regulatory requirements
Ensure timely filing with ACRA and Charity Portal such as AGM, EGM and Annual Returns documents
Assist in the general administration, procurement and finance functions of the department.
Other duties as required.
The ideal candidate will need to have the following qualities and experience:
Good university degree and holding or currently pursuing corporate secretarial qualifications
[Note: Candidate without corporate secretarial qualifications will be considered for this position if he/she is willing to pursue the 2 to 3 years part-time course sponsored by us)
At least 2 years of in-house corporate secretarial work experience or experience in an administrative setting
Excellent communication skills and a flair for writing (minimum “A2” for GCE ‘O’ Level English and “B” for ‘A’ Level General Paper)
Able to maintain the highest standards of confidentiality, discretion and integrity
Meticulous, conscientious, excellent time-management and organising skills with the initiative to adapt and think laterally as well as a flexible and can-do attitude
Resilient and able to operate under pressure in a fast-paced environment
Able to work independently with minimum supervision as well as enjoy being a team player with great people skills who can collaborate and build relationships
Highly proficient in MS Office applications including Word, Excel, and Powerpoint; familiarity with DocuSign and Sharepoint will be advantageous.
