This role takes the lead responsibility for administrative operations and planning of Residential Housing, Dining and COVID-19 related matters at the Dean of Students Office and serves as the departmental lead for various other institutional projects at the College.
  • The role manages all elements of Housing operations including vacation housing, room allocations/matching, first-year housing, move-in/out, occupancy forecasting, optimising operational efficiencies etc.
  • The role manages the Dining Experience Team and serves as a co-contract manager, working closely with the in-house dining vendor to align expectations and requirements from the wider College community.
  • The role co-manages COVID-19 related operations with the Student Services and Wellness teams.
  • The role serves as the departmental lead for various institutional-wide operational projects such as the Business Continuity Plan (BCP), Risk Register, Performance Metrics, Data Dictionary, Salesforce data migration etc.
  • Additionally, the role also works closely and collaboratively with the Residential Education & Dispute Resolution Manager on various projects and initiatives.
The responsibilities of this role are:

Residential Housing Operations & Administration:
  • Strategic planning and management of the College Residential Housing allocation and student movement process.
  • Ongoing development and implementation of Housing policies and SOPs in consultation with Senior Management.
  • Preparation of reports and metrics to update Senior Management on forecasted occupancy levels and identify room oversubscription risks.
  • Leading the annual Room Draw committee.
  • Coordinating all student movements throughout the year including move-in/out, vacation housing, first-year orientation and exchange student arrivals, etc.
  • Serve as key contact person for Housing-related matters with other stakeholders such as Assistant Deans, Residential Life Officers, College Managers, Infrastructure, Safety & Security team, Registry & IT.
  • Utilise a data driven approach to Housing Allocations through the review and optimisation of the existing housing allocation algorithm to meet the needs of the student community.
  • Supervise Housing students associates and Summer Housing interns to ensure a development-oriented, tiered approach to their professional development.
  • Coordinate emergency responses for students in a crisis.
Dining Experience Team Lead:
  • Lead the strategic development and enhancement of the College’s Dining Experience Team (DXT), to ensure a dining experience, which aligns with the College’s mission and vision for the Dining Halls through weekly meetings with the dining vendor and ensuring contractual obligations are met.
  • Supervise a team of student associates and an external food service consultant.
  • Oversee key elements of the dining experience including food quality, nutrition, menu compliance, student-feedback and strategic communications relating to dining on campus.
  • Oversee all dining-related matters pertaining to major Dean of Students Office events throughout the academic year.
Departmental Co-Lead for COVID-19 matters:
  • Work closely with Wellness manager for COVID-19 related incidents and emergencies on campus, including contact tracing, quarantine/isolation movements etc.
  • Work closely with Student Services team for end-to-end international student tracking.
  • Any other tasks as assigned.
Departmental lead for ongoing Institutional Projects:
  • Draft, maintain and ensure operational readiness of the Business Continuity Plans (BCP) for the Dean of Students’ Office.
  • Identify, analyse and ensure departmental risk mitigation plans are in order and updated regularly on the College’s risk register.
  • Point of contact for the department’s involvements in the institutional research data dictionary and metrics initiative.
  • Assist the HOD with the management of departmental data collection and storage on Salesforce and offline platforms to ensure compliance to institutional data policies.
  • Any other institutional projects as required.
Residential Education & Dispute Resolution:
  • Provide collaborative support on the various Residential Education & Dispute Resolution projects and initiatives.

The ideal candidate will need to have the following qualities and experience:
  • Bachelor’s degree
  • Minimum of two to four years of relevant work experience (in higher education operations & administration is preferred)
  • Strong background in data analysis and quantitative skills, including experience dealing with large amounts of data
  • Proven experience managing complex operations & planning projects.
  • Excellent administrative skills, including mastery of spreadsheets, database systems, and other programming/coding tools
  • Ability to strategise, innovate and improvise complex processes to adapt to evolving circumstances throughout the academic year
  • Very detail-oriented
  • Excellent communication skills, both oral and written
  • Ability to work both independently and on a small team
  • Ability to effectively manage multiple priorities and projects happening simultaneously
  • Able to work directly with both students and other professional staff
  • Background, interest, and experience working with students on housing-related matters in an educational setting preferred
  • Excellent analytical/technical skills including the management of data on Excel spreadsheets, Python/R (preferred), Salesforce and other database management systems.
  • Ability to effectively manage multiple complex, time-sensitive priorities and projects happening simultaneously.
  • Strong understanding and familiarity with a residential, liberal arts environment
  • Strong critical thinking and interpersonal skills.
  • Able to work directly with diverse students and professional staff
  • Knowledge and interest on working with students on issues related to housing and other issues.
  • Experience supervising student associates and/or junior staff members
