  JOB DESCRIPTION Our client is actively searching for a College Manager, 5 months contract  to join their team!

This position supports and runs the main function of the residential college, assisting the Rector and Assistant Dean of Cendana College, providing support to the Dean’s Fellows and Residential College Advisors, Affiliated Faculties and the Students at the forefront.

The Manager will assist in the following areas:

1. Personal & Academic well-being of Cendana residential college students
  • Execute overall RC events and programming. Logistics and catering etc
  • Prioritize scheduling of meetings to support student needs
  • Establish conversations with students in office to build strong rapport and understand their support needs before tabling their concerns to AD
2. Student support
  • Familiarization of various campus resources such as student portals, myYaleNUS portal and eduRec
  • Being able to provide personal listening ear/support when student needs to talk
  • Be proactive and sensitive towards the emotional needs of the students
3. Liaise and work closely with Registry on all student applications for AD office
  • Processing of application forms:
    • Leave of Absence form
    • Modules Add/Drop form
    • Overload/Underload form
    • Special project in Science registration form
    • Independent reading and research registration form
    • Student eternal presentation award form
  • Informing students of the outcomes
  • Follow-up with pending student cases
  • Establish and maintain proper application records within the college office
4. Managing and developing Student Associates
  • Approving student associate time sheets and request for payment forms, and work closely with finance department on reimbursements
5. Providing full secretarial support for the Rector of Cendana College
6. Faculty Residential Apartments
  • Manage and coordinate all logistical needs for the move-in/out of Cendana Residential faculty apartments
  • Liaise and work closely with both the existing and prospective residential fellows as well as the Infrastructure department for apartment review inspections, apartment turnover timeline and updates, apartment rectification requirements, and any other adhoc matters that arises from and not limited to turnover delays, unfortunate malfunctioning cases within the apartment and etc.
  • Liaise and update with both the residential fellow and Infrastructure department on meal entitlements
7. Cendana College Facilities
  • Manage the reservation of all college facilities
  • Oversee and maintain of the College facilities and venues
8. Managing of Cendana faculty affiliation listing
  • Assignment and listing of Cendana faculty pigeon holes
  • Updating of email list serves
  • Extending all event invites to affiliated faculties
9. Rector’s Event management
  • Coordination, execution and logistical arrangements for all events hosted by Cendana Rector such as:
  • Rector’s tea
  • Semester dinners
  • Affiliated faculty events
  • Other adhoc Rector’s events
10. Cendana College Council
  • Provide guidance to the college council members throughout the semester on all financial and operational processes and procedures
  • Process and approve all college council related expenses and reimbursements
11. Manage and oversee Cendana/Elm College keys and access cards such as:
  • Cendana faculty office master keys
  • Visiting guest access cards
  • Student temporary access cards
  • Mastercard for student suites
  • Cendana college spaces/venues/apartments keys.
12. Effectively track all movement records of the above cards and keys that are signed-in/out
13. Oversee of College Office stationery and pantry supplies as well as college amenities


The successful candidate will need to thrive in a fluid and dynamic environment that embraces a diversity of views and cultures.
 
The ideal candidate will need to have the following qualities and experience
  • Degree Holder
  • 3 years of relevant experience in Higher Education sector
  • Prior experience working with students
  • Basic Computer skills: Microsoft
