  JOB DESCRIPTION Our client is actively searching for an Executive Assistant, APAC to join their team!

The responsibilities of this role are:
  • Provide high level secretarial and administrative support, requiring discretion, confidentiality, a good understanding of technical and business vocabulary, and detailed knowledge of the organization’s operations, procedures, and people.  
  • Responsibility for the itinerary and calendar, you will be the go-to person when stakeholders need access. You will need to have an iron grip on the diaries of the leadership team to ensure the team isn’t overwhelmed. 
  • Travel plans will be your responsibility. Transport will need to be organised, visas achieved, accommodation booked and client entertainment accounted for – all within budget and timelines. Preparation of expenses report complying with the company policy and process.
  • Plan, organize and arrange APAC meetings/leadership conferences/workshops/activities to ensure smooth running, including venue/schedule/facility, pre-compilation and reviewing meeting materials, taking and distributing meeting minutes etc.
  • In this role, you will work closely with other Executive Assistants to ensure a number of administrative tasks are completed. Included in this are the coordination of signatories to legal documents, sourcing office supplies and ensuring the office environment is maintained in line with our policies & procedures. 
  • Gather, compile, verify and analyze information/documents for the executive to be used for the respective purposes such as memos, letters, reports, speeches, presentations, and news releases. 
  • Support to track APAC Leadership Team Major Projects Progress through various monthly report.

The ideal candidate will need to have the following qualities and experience:
  • Bachelor degree or above, minimum of 6 years of administration experience with 2 years of team management experience or Executive Secretary experience. 
  • Fluency of English and Excellent written and oral communications skills.
  • Able to work in a collaborative environment, adapt to a multi-cultural and team-oriented environment. and excellent problem-solving skills.
  • Self-motivation, ability to accept and respond to challenges in a positive manner.
  • A positive thinker and strong communicator (effective interpersonal skills dealing with people in a variety of functions).
  • Strong at Computer skills, MS Word, MS Excel, MS PowerPoint and Internet.
  • Strong ability to innovate and problem-solving, a driver of continuous improvement.
  • Determined to overcome unexpected obstacles to get to the right solution. 
  • A high degree of integrity, always prepared to do the right thing.
  • Professional Project Management Skills will be a plus.
